One thing I’ve learned over the years is that no matter how much you plan, something unexpected is bound to happen. It could be something as small as a flower delivery being late or as big as a downpour on the day of an outdoor wedding. The key is to prepare for the possibility of changes and have a flexible mindset.I remember an outdoor wedding where, 30 minutes before the ceremony, the skies opened up, and it started pouring rain. Luckily, the planners had a back-up plan. We quickly moved the ceremony indoors, set up a cozy space with candles and flowers and the couple couldn’t have been happier. Having a plan B (and even a plan C) for major elements of your event can save you when things go sideways.

When last-minute changes happen, it’s easy to panic, but as the planner, your calm energy will set the tone for everyone else. If you’re running around in a frenzy, your team, vendors, and even your clients will pick up on that stress. Instead, take a deep breath, assess the situation, and start problem-solving. Calmly gather your team and tackle the issues together. Stay focused and worked efficiently under pressure. Remember: staying calm allows you to think more clearly, which leads to better, faster solutions.
Build a Strong Network
Having a reliable network of vendors and a good team around you makes a world of difference when things go wrong. Your vendors are the key to making quick adjustments, and if they trust and respect you, they’ll be more willing to help solve last-minute problems. I’ve worked with the same florist for years, and once, when they were delayed by traffic, they sent an extra person to help set up in time. Why? Because we had a strong working relationship. The more you build rapport with your vendors, the more they’ll have your back when the unexpected happens.
