The 10 Essential Items to Own or Rent

Party Planning Academy ehbp400-1024x760 The 10 Essential Items to Own or Rent
53 Views

One of the most exciting parts of starting your party planning business is shopping for all the pretty things! But I have a confession to make: when I first started, I bought everything. I’m talking about bags full of themed decor that I only used once and then had to store in my garage for three years. Oops! I want to help you avoid that decor hoard and keep your business lean, mean, and super profitable. The secret is knowing what is an investment and what is just extra clutter.

Here is my ultimate guide to the 10 essential items you should own versus what you should definitely rent for your big events!

The Must-Own Essential Items

These are the items that pay for themselves after just two or three events. Owning these means you can charge your clients a rental fee and keep that money as pure profit!

1. A Professional Electric Balloon Pump

If you are still blowing up balloons by hand or using a cheap tiny pump, stop right now! A high-quality, dual-nozzle electric pump will save your life (and your lungs). It is the #1 tool for creating those gorgeous organic arches.

2. High-Quality Neutral Linens

You don’t need every color of the rainbow, just the essential items. Start with a set of floor-length linens in white or champagne. These are the “little black dress” of the event world—they go with everything and always look expensive.

3. A 12-Pack of Cylinder Vases

Glass cylinder vases are the most versatile items you can own. You can fill them with flowers, floating candles, or even sand and shells. They are cheap to buy in bulk and look stunning on any table.

4. Basic Backdrop Hardware

A sturdy pipe and drape kit or a simple metal hoop frame is a game-changer. Once you own the bones of a backdrop, you can dress it up with fabric, balloons, or florals for a completely different look every single time.

5. Battery-Powered Uplights

Lighting is the easiest way to make a cheap venue look like a luxury ballroom. Having four to six battery-powered LEDs in your kit allows you to add an “ambiance package” to your contracts for an easy upsell!

The Must-Rent Items (Save Your Space and Sanity!)

I know it’s tempting to buy these, but trust me—let the rental companies handle the heavy lifting!

6. Tables and Chairs

Unless you have a giant warehouse and a moving truck, do not buy furniture. Rental companies handle the delivery, the setup, and (best of all) the teardown at 1:00 AM while you get to head home.

7. Specialized Themed Decor

Is your client throwing a 1920s Great Gatsby party? Rent the oversized gold feathers and art deco props. You don’t want to be stuck with niche items that don’t fit your next client’s vision.

8. Fine China and Glassware

Washing, drying, and polishing 100 wine glasses after an event is not a fun Saturday night. When you rent, you can usually send them back dirty in their crates. That is a win in my book!

9. Large Tents

Outdoor events are beautiful, but professional tents are expensive to buy and very difficult to set up correctly. Leave the liability and the labor to the pros!

10. Specialty Linens (Sequins, Velvet, or Prints)

If a client wants a very specific emerald green velvet or a sparkling rose gold sequin cloth, check your rental house first. Trends change fast, and you don’t want to own 20 tablecloths in a color that goes out of style next season.
